ARRIVAL & CONFERENCE REGISTRATIONRegistration will be held from 3:00pm - 5:30pm in the Foyer of the North Residence Tower on the University of Regina campus. Members of CYAID Team SGI 2010 – your conference hosts, will meet you. One ADVISOR from each group must come to the registration desk to receive the entire registration package for their group. They need to bring with them a 'CURRENT' list of delegates in attendance so we can confirm delegates. This adult advisor will receive a ‘registration package’ for their entire group. All delegates and advisors must complete their conference nametags. These are visible ID tags. They MUST be 'visibly worn' during the entire conference – no exceptions.
ARRIVAL TIMESAs indicated in the previous section, conference Check-in will be held from 3:00pm - 5:30pm in the Foyer of the North Tower. Members of CYAID Team SGI 2010 – your conference hosts, will meet you to assist.
If your plans get you to Regina (the conference) prior to the 3:00pm Conference Registration start time, you need to notify us so arrangements can perhaps be made for an early check-in, etc. We will try our best to accommodate groups that have an early arrival. If you require additional night’s accommodation, they can be arranged through the University.
Due to the tight agenda that we will be following, if your school will not be arriving in Regina until after the 5:30pm close of registration – we need to know this. Opening ceremonies will begin at 6:00pm and the registration desk will be closed at that time. Visible ID tags will be made during registration so we need to make alternate arrangements for these if you will be arriving late.
A key to the success of your registration will be communication. The more information we have regarding your arrival itinerary, the better we will be able to accommodate your group. We will try to facilitate your needs to the best of our ability.
ATTENDANCEDelegates are expected to attend all sessions of the conference. Delegates who are not attending sessions are expected to be under the supervision of their advisor while away from the session. Advisors, who are taking their delegates away from the conference site, during scheduled conference times, are asked to inform the CYAID 2010 organizers so they are aware of the reduction in numbers at sessions, meals, etc.
LEAVING THE GROUNDSDuring the course of a day at the conference, it should not be necessary for delegates to return to their room. Meals, water, washrooms, etc. are all provided. There will be ‘scheduled’ breaks where students can return to their rooms. We ask that you have delegates remain in the conference area during specified times. If delegates are returning to their room at an unscheduled time, they will typically be entering their next session late – which is disruptive to all concerned.
No student will be allowed to leave the conference site without their advisor unless arrangements have been made with their advisor. CYAID will accept no responsibility for delegates that leave the conference site for a non-conference activity.
LIGHTS OUT & QUIET TIMEDelegates are expected to be in their OWN ROOM for ‘lights out’. Experience has shown us that the only complaints received are encountered with delegates out of their room after the lights out deadline. If you plan on a ‘late night snack’ with your delegates, be sure that you adjust your schedule, as the advisor, to have it ordered and finished so that the delegates are in their own rooms by the indicated time for lights out. Again, there should be no need for students to be out of their rooms after this time. For security reasons – please be sure your delegates are advised to LOCK their doors when in their rooms.
MEALSYour delegate fee covers all of the meals listed in your agenda. Snacks and water will be provided to the delegates throughout the conference. You may also choose to have your own supply of snack foods available. A variety of items will be available at all meals. There should be no need for special menu requests.
DRESSDress for the conference is comfortable and casual. We have no expectation for ‘special’ clothing requirements. You are encouraged to dress as you wish – be creative, have fun with it – while still respecting the principles of your school dress code guidelines. No clothing with beer or alcoholic beverages logos are permitted.
AMENITIES CLOSE BYAll conference meals are provided. If you require meals outside of the conference provisions, there are numerous food establishments on Campus.
